Warminster Saddle Club Competition Terms and Conditions

By entering any competition organised by Warminster Saddle Club ("the Club"), all competitors, parents/guardians (where applicable), owners, trainers, and spectators agree to comply with these Terms and Conditions.

1. Eligibility

  • Competitions are open to riders who meet the eligibility requirements stated in the event schedule.
  • Membership requirements, where applicable, must be met before the close of entries.
  • The Club reserves the right to refuse or cancel any entry at its discretion.

2. Entries

  • Entries must be submitted using the method stated in the event schedule and before the published closing date.
  • Entries are accepted on a first-come, first-served basis unless otherwise stated.
  • Late entries may be accepted at the discretion of the organiser and may incur an additional fee.
  • Entry fees are non-transferable unless agreed by the organiser.

3. Refunds and Withdrawals

  • Withdrawals made before the published closing date may be eligible for a refund, less any administration fee.
  • No refunds will normally be given after the closing date unless the event is cancelled by the Club or exceptional circumstances apply.
  • If a competitor withdraws due to illness or injury, a refund may be considered upon receipt of appropriate evidence at the organiser's discretion.

4. Event Cancellation

  • The Club reserves the right to cancel, postpone, or alter any competition due to adverse weather, unsafe ground conditions, insufficient entries, or circumstances beyond its control.
  • In such cases, refunds will be made at the Club's discretion after unavoidable expenses have been deducted.

5. Horse Welfare

  • The welfare of the horse is paramount at all times.
  • Any competitor found to be mistreating a horse or pony will be asked to leave the venue immediately and may be disqualified without refund.
  • Horses and ponies must be fit, healthy, and suitable to compete.
  • The Club reserves the right to refuse entry to any horse or pony deemed unfit or unsafe.

6. Rider Responsibility

  • Riders are responsible for ensuring they are competent to compete at the level entered.
  • All competitors ride entirely at their own risk.
  • Riders under the age of 18 remain the responsibility of their parent or guardian at all times.

7. Health and Safety

  • Approved riding hats meeting current recognised safety standards must be worn whenever mounted.
  • Appropriate footwear with a heel must be worn.
  • Body protectors are strongly recommended and may be mandatory for certain classes.
  • The organiser reserves the right to prevent any rider from competing if their equipment is considered unsafe.

8. Conduct

  • Competitors, supporters, owners, and spectators are expected to behave respectfully towards officials, volunteers, judges, stewards, venue staff, and fellow competitors.
  • Abusive, threatening, discriminatory, or unsportsmanlike behaviour will not be tolerated.
  • The Club reserves the right to remove anyone from the venue and refuse future entries.

9. Dogs

  • Dogs are welcome only if kept on a short lead at all times.
  • Owners must clean up after their dogs.
  • Any dog causing a nuisance may be asked to leave the venue.

10. Vehicles and Parking

  • All vehicles, horseboxes, trailers, and their contents are left entirely at the owner's risk.
  • Please follow all parking instructions from stewards.

11. Liability

  • Neither Warminster Saddle Club, the venue owners, officials, volunteers, sponsors, nor any person acting on their behalf shall be liable for any accident, injury, illness, loss, damage, or theft affecting any person, horse, vehicle, equipment, or property, however caused, except where liability cannot legally be excluded.

12. Veterinary and Medical Emergencies

  • In the event of an emergency involving a horse or rider, the organiser may arrange veterinary or medical treatment if the owner or responsible person cannot be contacted immediately.
  • Any associated costs remain the responsibility of the owner or competitor.

13. Photography and Media

  • Official photographers may be present.
  • By entering the competition, competitors consent to photographs and videos being taken and used by Warminster Saddle Club for promotional, educational, and social media purposes.
  • Anyone wishing to opt out should notify the secretary before competing.
